General Information for 2008 Conference

Purpose

Faculty Horizons is intended to provide post doctoral fellows and upper level graduate students, particularly women, with many of the skills necessary to become successful tenure-track faculty members in science, technology, engineering, and mathematics (STEM). The skills learned at this workshop are essential in preparing scientists for a successful career!

Program Costs

Registration for Faculty Horizons, which includes meals and transportation during the workshop, will be paid for by the UMBC ADVANCE grant.

Participants will be reimbursed for other expenses, including travel to and from the workshhop and hotel accommodations, for up to $400. Complete details are included in the reimbursement section. The UMBC ADVANCE grant from the National Science Foundation (NSF) is providing funding for this event.

Application

All qualified applicants are encouraged to apply. Priority will be given to those female applicants who are nearing entry into faculty positions, and female post doctoral fellows and senior-level graduate students from underrepresented groups . Everyone must apply on-line and be selected to attend this workshop due to the limited space and funding. Please submit your application early! All applications must be received by May 5, 2008. Applicants will be notified once the application is received. Be sure to complete all of the requested information. Only complete applications will be reviewed by the selection committee.

Selection of participants will begin on April 24, 2008 and will continue on a rolling basis. Those selected to attend the conference will be notified within one month of their submitted application. All decisions will be complete by May 27, 2008.

Once you have been selected to attend the conference, please make travel arrangements immediately to obtain the best rates!

Travel

Participants are responsible for making their own travel arrangements. All reservations should be made with Globetrotter Travel Management Services in order to ensure easy reimbursement for your ticket. Please call 800-322-7032 and press 1 when prompted to get to the air/train/car rental dept. When making your travel itinerary, inform the travel agent that you are with the UMBC Faculty Horizons Program. Remember, when making your arrangements that registration begins at 2:00 p.m. and the first event begins at 5:30 p.m. on July 10, 2008. The program will end on July 12, 2008 at 1:00 p.m. It is best to purchase the ticket with a credit card. Please note -- participants who do not use this agency will need to provide original receipts of their ticket to receive reimbursement.

Travel by Air: Arrangements should be made to/from the Baltimore Washington International (BWI) Airport. You will receive an email from Globetrotter Travel with your travel itinerary. Print and keep it with you at all times as this will be your official travel document. Tickets will be paperless.

Travel by Train: From points north of Baltimore, you should get off at the second Baltimore stop---Baltimore BWI Amtrak station. From points south of Baltimore, you will get off at the first stop---Baltimore BWI Amtrak station. You will be mailed a paper ticket for your train travel from the travel agency.

Travel by Car: For those who will be driving to the Four Points by Sheraton BWI Airport, please visit their website or contact the hotel (information below) for directions. There is a parking lot on the hotel property where you can park for no fee.

Lodging

For those participants outside of a thirty mile radius of the conference, a reservation will be made in your name at the Four Points by Sheraton BWI Airport. Room rates are $60 per person per night for double occupancy and $120 per person per night for a single occupancy. The hotel contact information is:

When arranging rooming for this workshop, we will try to accomodate your preference of single or double occupany, however we cannot guarantee it. If you have indicated a specific individual on your application that you would like to share a room with, we will do our best to accommodate that request.

Shuttle to/from the Hotel

After picking up your luggage at the airport, please call the hotel on an airport courtesy phone or from the information desk and provide them with your location. They will send a shuttle to pick you up and take you the hotel.

From the BWI Amtrak train station, please call the hotel at 410-859-3300 and request a shuttle to pick you up.

The shuttle leaves the hotel every hour on the hour and every half hour to return you to the airport or the train station. Please make arrangements with the hotel for your departure.

Special Needs

If you have any special needs, including dietary please inform the ADVANCE Program personnel after acceptance into the Faculty Horizons workshop.

Reimbursement

Participants are required to make all travel arrangements to and from the workshop (please see above for Travel Agent information). Reimbursement will be provided by the NSF ADVANCE grant at UMBC up to $400. This will include but is not limited to:
  • Air and train tickets to/from the conference

  • Mileage to/from the conference for those people who drive.

  • Hotel accommodations.

  • Parking at airport parking lots.

  • An Expense Statement will be given to you during the Faculty Horizons Workshop with completion instructions. Reimbursements will be made approximately 6 - 8 weeks after receipt of your completed expense statement.
