Coordinator of Group and Event Volunteers

Primary Function: This person will work as part of the Volunteer Department team, to ensure all aspects of the volunteer services are accomplished to the highest standards. The Coordinator of Groups and Event Volunteers will implement the Department operations by coordinating the volunteer activities of groups and individuals for zoo special events and short-term projects.

Responsibilities: Management reserves the right to revise the job or require that other or different tasks be performed when circumstances change. Tasks include but are not limited to the following responsibilities:
• With Volunteer Manager, build relationships with schools, scouts, businesses, religious groups, and other organizations that could provide groups of volunteers for events and projects
• Coordinate with Events Staff in preparation for events
• Create and maintain a “wish list” of projects for various zoo departments, and coordinate with department heads to plan and execute projects
• Provide hands-on supervision during special events and service projects by transporting volunteers and supplies, distributing refreshments, solving problems on the fly, and actively participate as needed.
• Communicate with existing volunteers and applicants to fill needs, using phone, email, and mail
• Ensure volunteer records are kept appropriately for statistical and reporting purposes.
• Correspond with volunteers to provide pre-service instructions and service verification letters
• Participate in training for new volunteers and Volunteer Team Leaders
• Assist with planning and coordinating volunteer recognition events and activities
• Schedule will be approximately 30 hours per week, including one regular weekend day, with additional weekend requirements for scheduled events or projects.

Minimum Qualifications:
• AA in Human Services, Recreation Management, or similar field
• Experience coordinating paid staff or volunteers
• Two years event planning or similar project management
• Excellent oral and written communication skills.
• Strong leadership, interpersonal and listening skills, as well as high personal motivation and ability to motivate others.
• A personal commitment and awareness of the importance of volunteerism.
• Highly flexible schedule, with ability to work weekends, holidays, and evenings.

Physical Requirements:
• Standing (up to 8 hours per day), walking (6 hours per day), sitting (2 hours per day);
• Carrying and lifting up to 50 lbs occasionally;
• Daily contact with plants and animals including being subject to bites, stings and scrapes;
• Ability to work outdoors for extended lengths of time including exposure to changes in temperature and humidity; and
• Viewing a computer screen for extended periods of time and typing on a computer keyboard.
