As our department ultimately handles both the editorial and technical aspects of book publishing, the experience that a dedicated intern can gain will prove invaluable to a future career in publishing.

• Completing Cataloging-in-Publication (CiP) data applications.
• Coordinate our efforts with the Library of Congress Cataloging-in-Publication program through processing and tracking applications for CiP data.
• Completing online copyright applications.
• Assist in registering copyrights for our recently published books with the Copyright Office.
• Proofreading and checking indexes.
• Check author-created indexes for spelling, alphabetization, style, format, and accuracy.
• Proofreading cover “matchprints” from design.
• Check matchprints (also called “printer’s proofs”) of book covers for typos, spelling errors, incorrect information, etc.
• Updating “Crime Photo Database.”
• Adopt the task of matching prewritten captions with existing images, “tagging” the photos with referential terms that aid in locating them easily, and compiling everything in the Excel-based database.
• Returning stock to warehouse (taking inventory, packing, etc.).
• Learn inventory control procedures through preparing, cataloging, and processing shipments to our Blue Ridge Summit warehouse.
• Filing physical production folders from projects completed prior to December 31, 2008.
• Archive materials from finished projects, weeding out unnecessary paperwork and filing the remaining documents.
• Creating digital archives of projects completed following January 1, 2009.
• Assist in organizing our ongoing conversion to a paperless archiving system.
• Processing/Uploading e-book files
• Retrieve completed e-book files and upload them to our e-book vendors.
• Reviewing sample pages (but not approval/rejection thereof).
• Evaluate author-provided samples of camera-ready books, following the provided checklist, to document necessary formatting changes.
• Reconciling invoices.
• Process our vendor invoices, create AP vouchers, and manage our PO (purchase order) log.
In addition to the outlined responsibilities, the production intern will also: benefit from a working relationship with our editorial assistants and senior production staff; have an opportunity to attend interdepartmental meetings with managers; and learn about and interact with staff members from other departments such as acquisitions, marketing, and design.
