RESPONSIBILITIES:Reporting to the Director of Athletics, Physical Education & Recreation, the incumbent will provide executive level secretarial and administrative assistance. Specific duties include: handling matters of a highly confidential or sensitive nature; performing routine administrative duties such as typing, word processing, dictation, and filing; maintaining confidential personnel files; coordinating and issuing new and renewal contracts for employees; preparing hiring paperwork for new employees; researching and preparing detailed confidential documents for Division, University, Board of Regents, Athletic Conference office and NCAA; answering and screening the Director’s calls; scheduling appointments, meetings and reservations; composing replies to general inquiries requiring program knowledge; signing important correspondence frequently without instruction or review; receiving and reading incoming correspondence and information; summarizing and prioritizing review of correspondence; screening out items to be handled personally and forwarding remainder to others with necessary background materials; acting as intermediary for the Director; interacting with officials, staff at all levels, and the public; providing information requiring comprehensive knowledge of institution policies, procedures, and special issues; ensuring that the Director is fully briefed before meetings; making travel arrangements; anticipating director’s course of action when absent and facilitating problem resolution; interpreting administrative decisions and policies to other staff; maintaining D-card for on campus dining for guests of UMBC Athletics; maintaining knowledge of and complying with the laws, policies, rules and regulations governing the University System of Maryland, UMBC and its employees, the National Collegiate Athletic Association (NCAA), the America East Conference (AEC) and those of any other conferences to which UMBC may become affiliated; and performing other duties as assigned.
MINIMUM QUALIFICATIONS:Education/Experience: Requires a High School Diploma or GED and four years secretarial experience. Must have strong computer, written and verbal communication skills. Note: This position will require a background check.
SALARY:Pay Range 10 (starting at $34,105 - $56,239) based on the University System of Maryland Pay Program.
