The Alert Program

Approximately one week after the registration deadline, class lists of freshmen in your classes are sent to department chairs who in turn deliver the lists to instructors. Currently, the class lists are Excel files sent as email attachments. We process the class lists only as Excel files.

Download the Excel file/s and save to your personal account (my documents or any other folder or file you prefer). Please, do not save in PDF, Word, or any other format. Place a reminder of the due date (2 weeks before the final drop date) somewhere prominent so you won't forget. You might place it on your calendar at a point after you've registered enough grades to assess your students' progress.

Please consider that the earlier the student gets an Alert, the sooner the student can seek help and the better the chances for success and student retention. If you have not scheduled evaluations before the final drop date, you and your students may not know who is doing poorly. Early evaluations are crucial for student success and retention.

After sufficient evaluation, instructors should open the class list in Excel and check the names of any student or students who are struggling in their classes.

Next, save the completed class list to your personal account.


Finally, email fyi@umbc.edu before the deadline date and attach the completed Excel file/s . We cannot accept the class lists in any other format. PDF, Word, or any other format will be returned as unacceptable. You will be notified that your completed class lists have been received and that Alerts have been sent to the indicated students.


Note that each department has its own method of monitoring this process . You may be directed to send the completed class lists to a department representative instead of or as well as emailing it to fyi@umbc.edu . There may be other arrangements, so check with your departments if you're not aware of specific departmental procedures.


The due date for returning the class lists is approximately two weeks before the final drop date. This allows students ample time to speak to an adviser before dropping a class. The precise due date can be found in the directions on the class list:

Plans are underway to simplify this process:

  • A website will be available for departments and faculty to directly access class lists.
  • Alerts will be sent automatically once instructors have completed and submitted class lists.
  • Departments will be able to monitor instructor participation daily.
  • Campus resources will be able to access daily updates of freshmen who have received Alerts.
  • Data will be collected and recorded automatically.

Thank you very much for your participation in and support of the FYI program as we build a new infrastructure that will support expansion to new populations; provide a user friendly interface with departments, faculty, and staff; and improve efficiency for all involved.
