The Chesapeake Bay Trust seeks a qualified candidate to serve as the organization’s Program Assistant. The Program Assistant is responsible for helping to process, track, and monitor grant applications from non-profit organizations and schools that are committed to restoring and protecting the Chesapeake Bay and its rivers. This position will also assist the Trust with its communication’s program and support meeting and event planning. This person will be a key member of a nine person staff.

Established in 1985, the Chesapeake Bay Trust is a private, non-profit, grantmaking institution dedicated to promoting public awareness and participation in the restoration and protection of the Chesapeake Bay. Over the past three years, the Trust has doubled its grant portfolio—now awarding in excess of $3.5 million per year—and it initiated a number of important targeted grant programs and partnerships.

Grant Administration Responsibilities:

Assist in the processing and analyzing of grants that advance Chesapeake Bay education and restoration goals.

Aid in the processing all incoming grant applications including verifying project budget, project type, and contact information. Enter new requests into database and prepare appropriate correspondence with grantee.

Prepare grant summary reports for technical review committees, the grants policy committee, and Board of Trustees.

Aid Trust in preparing all materials for Board packet and committee meetings.

Assist grant officers by tracking and analyzing grant data and information for use in presentations to the Board of Trustees. Prepare and manage other grant related reports as needed.

Serve as a point of contact for grant applicants who have general questions about grant programs or questions about pending applications. Provide support to non-profit organizations and schools in the preparation of grant proposals.

Work with technical consultants and other staff to maintain and, when necessary, enhance grant administration database and tracking tools.

Support staff with grantee outreach and other special projects as needed.

Marketing/Event Planning Responsibilities:

Support event planning by managing mailing lists, helping to prepare event materials, and assisting with on-site logistics.

Update media lists and research new media outlets.

Help prepare marketing packets, including print materials and coordinate general mailings.

Help manage correspondence with donors and partners.

Help update website and other electronic communications.

Required Experience and Skills:

Minimum two years professional experience preferably in the policy/environment/natural resources field.

Minimum bachelors degree.

Proficient in Microsoft Word processing, Excel spreadsheets, and Access database.

Familiar with website maintenance preferred.

Ability to tackle multiple tasks in a timely and effective manner.

Ability to work independently and in an office environment.

Excellent written and oral communication skills.

Position Salary and Benefits:
$26,000 to $32,000 with an excellent benefits package and opportunities for related
professional development through workshops, training programs, and conferences.
